KS Roof Master ("we", "us") is a roofing contractor operating across Greater London. This policy explains what personal data we collect, why we collect it, how long we keep it, and the rights you have under the UK GDPR and the Data Protection Act 2018.

1. Who we are

2. What personal data we collect

We only collect the information we genuinely need to respond to you and deliver our roofing services:

• Enquiry details — your name, telephone number, email address, postcode and the details you include in a message when you request a quote, free inspection or emergency callout.
• Service records — where you instruct us to carry out work, we retain the scope of the work, the property address, invoices and any correspondence needed for aftercare and warranty administration.
• Website usage data — pages visited, the referring source, and general device and browser information, collected through our own analytics tooling to help us improve the site.
• Technical data — your IP address and browser user agent may be recorded in our server logs and analytics for security and diagnostic purposes.

3. How we use your data and the legal basis

Under the UK GDPR we must have a lawful basis for each use of your data. We rely on the following:

• Consent — for non-essential analytics cookies and for marketing communications. You can withdraw consent at any time via the cookie banner or your browser settings.
• Contract — where we are quoting for, or carrying out, roofing work you have instructed us to do.
• Legitimate interests — to respond to enquiries, to prevent fraud and abuse of our forms, to operate and secure the website, and to understand how the site performs so we can improve it. We have assessed that these do not override your rights.
• Legal obligation — to retain invoice and tax records for the periods required by HMRC and company law.

4. How long we keep your data

Enquiry records that do not lead to work are deleted or anonymised within 24 months of our last contact. Records relating to completed contracts are retained for 6 years from the end of the financial year in which the work was completed, in line with our accounting and insurance obligations. Analytics data is retained on a rolling basis and reset periodically.

5. Who we share your data with

We do not sell your personal data. We share it only with the categories of supplier needed to deliver our services and meet our legal duties:

• Our email delivery and web hosting providers, who process data on our behalf under written data processing agreements.
• Our analytics service, which records anonymised page and click events.
• Professional advisers, insurers and regulatory authorities, where we are obliged to disclose information.

6. Cookies

We use a small number of cookies. Strictly necessary cookies keep the site working and remember your cookie consent choice. Analytics cookies, where used, measure aggregated traffic so we can understand which pages are useful to visitors. You can block or delete cookies in your browser settings; blocking strictly necessary cookies may affect site functionality.

7. Your rights

You have the right to:

• be told what personal data we hold about you, and receive a copy of it (access);
• have inaccurate data corrected (rectification);

8. Security

All data is transmitted over encrypted HTTPS connections. Access to enquiry and customer records is limited to staff who need it to do their job, and we apply the same controls to our suppliers. No system is completely secure, but we regularly review and update our safeguards.

We update this policy when our practices change. The "last updated" date at the top of this page always reflects the current version.
